Yenny Paez Counselling is a private counselling practice operated by Yenny Paez, a Registered Clinical Counsellor (RCC) registered with the British Columbia Association of Clinical Counsellors (BCACC). All services are provided virtually to clients located in British Columbia, Canada.

2. What Information We Collect

We collect personal information only when necessary to provide counselling services or respond to your enquiries. The types of information we may collect include:

  • Booking information — appointment dates, times, and session type

  • Payment information — processed securely through Jane App (we do not store your payment details directly)

  • Health and session information — details you share during the intake process and in sessions, including information relevant to your mental health and wellbeing

  • Website usage data — anonymised data collected automatically by Squarespace (see Section 6)

We do not collect sensitive information beyond what is reasonably necessary to provide counselling services.

3. How We Collect Your Information

All bookings, intake forms, and session scheduling are handled through Jane App, a Canadian healthcare software platform. When you book an appointment or complete an intake form, your information is collected and stored by Jane App on our behalf.

Jane App is compliant with PIPEDA and BC PIPA, and uses industry-standard encryption to protect your data. You can review Jane App's privacy policy at janeapp.com/privacy.

We do not operate a contact form on this website. The only way to submit personal information through this site is by clicking through to Jane App.

4. Why We Collect Your Information

Your personal information is collected and used only for the following purposes:

  • To schedule, confirm, and manage your counselling appointments

  • To process payment for sessions

  • To maintain clinical records as required by BCACC standards and applicable law

  • To communicate with you about your appointments and care

  • To provide you with receipts for insurance reimbursement

We do not use your information for marketing purposes, and we do not sell or share your information with third parties except as described in this policy.

5. Confidentiality and Your Health Information

Everything you share in sessions is confidential. As a Registered Clinical Counsellor bound by the BCACC Code of Ethics, Yenny Paez is committed to protecting the privacy of your health information.

There are a small number of legally required exceptions to confidentiality. Yenny will discuss these with you at the start of your work together. They include:

  • If there is a risk of serious harm to yourself or others

  • If disclosure is required by a court order

  • If required by law under mandatory reporting obligations (e.g. suspected child abuse)

In these circumstances, only the minimum necessary information will be disclosed, and where possible, you will be informed in advance.

6. Website Cookies and Analytics

This website is hosted on Squarespace, which automatically collects certain anonymised data about visitors — including pages visited, time on site, device type, and approximate location. This data is used solely to understand how the website is used and to improve its performance.

Squarespace may use cookies to enable certain website features. You can manage your cookie preferences through your browser settings at any time.

We do not use Google Analytics or any third-party advertising or tracking tools on this website.

7. How Long We Keep Your Information

Clinical records are retained for a minimum of seven (7) years from the date of last service, in accordance with BCACC standards and BC health regulations. For clients who were minors at the time of service, records are retained for seven years after the client turns 19.

Booking and payment records held by Jane App are subject to Jane App's own retention policy.

When records are no longer required, they are destroyed securely.

8. Your Rights

Under PIPEDA and BC PIPA, you have the right to:

  • Access the personal information we hold about you

  • Request corrections to inaccurate or incomplete information

  • Withdraw consent to the collection or use of your information (subject to legal and professional obligations)

  • Ask how your information is being used and with whom it has been shared

To exercise any of these rights, please contact Yenny directly at the email address listed in Section 1. We will respond within 30 days.

9. Third-Party Services

This practice uses the following third-party services that may process your personal information:

  • Jane App — for booking, intake forms, session management, and payment processing (janeapp.com)

  • Squarespace — for website hosting and anonymised analytics (squarespace.com)

Each of these services has its own privacy policy. We encourage you to review them if you have questions about how your data is handled by these platforms.

10. Data Security

We take the security of your personal information seriously. Session bookings and clinical records are managed through Jane App, which uses TLS encryption and secure data storage. This website is hosted on Squarespace, which maintains industry-standard security practices.

While we take all reasonable precautions, no method of electronic transmission or storage is completely secure. If you have concerns about data security, please contact us.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The date at the top of this page will always reflect when the policy was last revised. Continued use of this website or our services after any changes constitutes your acceptance of the updated policy.
